Discovery
When we first partnered with Playbook, they were using Shortcuts (previously known as Clubhouse) to manage their workflow operations. While Shortcuts was a useful tool, it did not fully meet their needs.
After a thorough assessment, Notion was picked as the alternative, which had the features they were looking for, including comprehensive task management and efficient documentation organization.
Solution
Once Plabook was on board with using Notion, we worked closely with them to set up their digital workspace for their design team. We first created a central database for all tasks. This database included relevant details such as client name, task type, creator tier, priority naming convention, deadline, and the team members working on the project.
Along with creating the crucial database, we seamlessly integrated it with their client submission form on Jetform by utilizing make.com an automation tool. By doing so, all new entries were automatically directed to the database as well as to a dedicated Slack channel, enabling the team to be notified of new submissions promptly. This process ensured that the team was always up-to-date on new client submissions, allowing them to respond quickly and efficiently.
Results
By setting up their digital workspace in Notion, Plabook was able to streamline their workflow, improve team communication, and stay organized in their tasks and projects.
As well as their internal documentation by properly documenting their design processes and assets, the team could easily find information and avoid duplication of efforts.
Overall, by documenting their design workflows and implementing a good Notion structure in, Plabook was able to improve team collaboration, efficiency, and productivity, resulting in a better experience overall.
